Implementation & data migration

Construction ERP implementation — what it takes to move off Excel.

Most contractor ERP projects do not fail on features. They fail because the masters were never cleaned, the running projects were never brought across, and nobody agreed what 'live' meant. Here is how onboarding actually runs, what we do, and what your team has to do.

The gap

Why ERP rollouts stall at contractors

  • The software goes live on a clean, empty database while the real business keeps running on spreadsheets.
  • Running projects are left out because migrating a half-finished BOQ is awkward — so two systems run in parallel, forever.
  • Item, vendor and rate masters arrive dirty: the same cable in four spellings, at three rates.
  • Site staff are trained once, in an office, on a projector, and never again.
  • Nobody wrote down what had to be true before everyone stopped using the old way.
The fix

How onboarding runs

A staged sequence with a named owner on both sides at each step.

1. Masters first

Items, vendors, labour and subcontract rates, cost heads and users. We import from your Excel or Tally exports and de-duplicate with you — this is where most of the effort goes, and it is worth it.

2. Live projects and BOQs

Your running projects are set up with their BOQs, so the system starts where the business actually is rather than at the next new job.

3. Opening balances

Outstanding receivables, payables, retention held and advances with subcontractors are entered as opening positions, so the first month's numbers mean something.

4. Training, by role

Two sessions, split by what each group actually does — site staff on DPRs and indents, office staff on procurement, billing and approvals.

5. Go-live with acceptance criteria

Agreed in advance and in writing: which workflows must run in the system, who signs each off, and the date the old way stops.

Verified: the same sequence was used to move Secured Engineers — a 14-year EPC contractor with live projects across multiple states — off spreadsheets and onto sotyn.ai.

A typical onboarding, week by week

An illustrative plan for a mid-sized contractor — your sequence is agreed before work starts and may differ.

Onboarding is a one-time fee — ₹25,000 on Starter, ₹50,000 on Growth & Enterprise — separate from the subscription. Charged once — masters import, BOQ setup and 2 training sessions, so you go live fast.

Before you buy

What you need to bring, honestly

  • Someone who owns the data. If nobody on your side can say which of three rates is the right one, migration stalls — and we cannot decide that for you.
  • Exports, not screenshots. Excel or Tally exports of items, vendors, rates and outstanding balances.
  • Time from the people who do the work. Roughly a few hours a week from accounts and one project lead during onboarding.
  • A decision to stop the old way. Running spreadsheets alongside the system for months is the single most common reason a rollout fails.
  • We migrate your data at setup. Describe this as a migration, not a permanent two-way sync with your existing accounting software.
  • Timelines above are typical, not contractual. A multi-company group with heavy history takes longer, and we will say so before you commit.
Straight answers

Questions contractors ask

How long does implementation take?

A typical mid-sized contractor is running in about four weeks: masters, live projects and BOQs, opening balances, role-based training, then go-live against agreed acceptance criteria. Larger or multi-company groups take longer, and we say so before you commit.

What does implementation cost?

Onboarding is a one-time fee — ₹25,000 on Starter and ₹50,000 on Growth & Enterprise — separate from the annual subscription. Full pricing is on the pricing page.

Do we have to start from a blank system?

No. Your existing masters, running projects, BOQs, vendors and opening balances are migrated at setup, so the system starts where your business already is.

We run on Tally and Excel. What happens to them?

Your item, vendor, rate and balance data is exported and migrated during onboarding. Accounting stays where your accountant wants it; the project, procurement and billing operations move here.

Who trains the site teams?

We do, by role and on your own data — site staff on daily reports and indents, office staff on procurement, billing and approvals. Site users are not charged per seat, so training everyone on site does not raise the price.

What if it does not work for us?
