Procurement & purchase control

Construction procurement software — indent to purchase order to receipt.

Site raises an indent, the office compares vendor rates, the right person approves it, and the PO, the delivery and the bill all trace back to that one request. For Indian EPC, MEP, solar and civil contractors buying across several sites at once.

The gap

Why buying leaks margin on site

  • Site phones the office; the office phones a vendor. Nothing is written down until the bill arrives.
  • Rates are agreed verbally, so nobody can check what was quoted against what was charged.
  • Two sites buy the same item in the same week, at two different prices.
  • Material arrives without anyone matching it to a purchase order — or to the BOQ it was meant for.
  • Approvals happen over WhatsApp, so when a purchase is questioned there is no trail.
The fix

What the system actually does

One chain of custody from the request to the payment, with the approval recorded at each step.

Indent from the site, on a phone

The site raises what it needs against a project. The request carries who asked, for which site and against which BOQ line — before anyone calls a vendor.

RFQ queue: compare before you commit

Send the same requirement to several vendors and compare their rates side by side in one view, instead of three separate WhatsApp threads.

L1 / L2 approval, recorded

Value-based approval levels. The approver sees the comparison they are approving, and the decision is stamped with a name and a time in the audit log.

PO → dispatch → receiving → debit note

The purchase order, the dispatch, what actually arrived and any short supply or rejection all hang off the original indent. Debit notes close the loop with the vendor.

Stock that reflects the site, not a guess

Inventory updates on receipt, so the next indent starts from what you already have — including tools and rented kit sitting idle.

Verified: this is the procurement chain Secured Engineers runs its own multi-site EPC buying on — the company that built sotyn.ai and is its first customer.

Worked example

One purchase, end to end

Sample data, not a customer record — this is the shape of the trail the system keeps.

Before you buy

What this does not do

  • It does not read quantities off drawings. Procurement starts from a BOQ or an indent you raise, not from a DWG or a BIM model.
  • It does not connect to vendor portals or e-tender platforms. RFQs go to your own approved vendor list.
  • Approval levels are configured during onboarding to match how your company already signs off. That is setup work, not a switch you flip on day one.
  • Rate contracts, GST rates and vendor masters are only as good as the data imported at setup — budget time for cleaning them.
  • Mobile use is through the web app on any phone. Native Android and iOS apps are not released yet.
Straight answers

Questions contractors ask

Can site staff raise an indent without a login to the whole system?

Site users get their own role-limited access — they raise indents and see their own site, not company finances. Site users are not charged per seat, so adding a storekeeper costs nothing.

How do approvals work for a large purchase?

Approval levels are value-based (L1, L2). The approver sees the vendor comparison behind the request, and the approval is recorded in the audit log with who approved it and when.

Can we compare vendor quotations inside the system?

Yes. The RFQ queue puts the rates from your approved vendors against one specification in a single comparison, so the decision and the reason for it are both on record.

Does it track material across sites?

Yes — inventory is per site, and movements between sites are recorded, so stock at Site B is visible before Site A orders more.

What about material that was bought but over-consumed?

That is the reconciliation side: BOQ versus actual consumption, per line and per site. See material reconciliation.
